Behind the Scenes - Setting Up For Your Wedding Reception

Ever wonder how a wedding reception comes together on the big day.  Well it is a LOT of work.  I thought I would give you a little pictorial tour starting from an empty room to the finished product.  These pictures are from the set up of our wedding this past weekend.  This will also give you an idea of just what wedding planners do behind the scenes to make that wedding reception look like all the plans you have made.

Here is the big empty room (happens to be Zen in downtown Greenville) as the Willrich Team arrives.


Our team waiting on delivery of tables,chairs, and linens.  See the papers in everyone's hands?  That's our layout design we have put together with the bride and groom, timelines and everything else needed for the big day.

Tables and chairs finally arrive.

It's a lot of tables and chairs that have to be unwrapped and set in place. Remember the correct number of chairs have to be placed at each table depending on the brides seating chart.

See the stacks of cushions?  Each one of those has to be hand tied to each chair.  A very time consuming job.

Next each linen is carefully unpacked and laid in place.  In this case, each table had two linens, an underlinen that goes to the floor and a fancy overlay that is placed over the underlinen.

After linens are in place the florist arrives (Just Weddings) and adds flowers to each table.  Remember tables need to be setup and covered before the florist ever arrives.

Once flowers are on the tables the personalized details such as menus and table numbers/names are put in place.

Napkins have to be unwrapped, folded and placed on the table.  Menus are added.

Timelines and plans are carefully followed. Everyone is on a strict time schedule.

Next silverwear is added to the tables.  Place settings must match the number of guests expected at that table.

Cake arrives and is set into place. (Couture Cakes of Greenville)

DJ arrives and sets up. (Sam of Life of the Party)

Everything is coming together.

It's getting closer to time for guests to arrive.  Everything moves into high gear.  The caterer sets up the cocktail hour food displays. (Shane, Goodlife Catering).

Finally everything is set and ready to go as guests begin to arrive and enjoy cocktail hour.

Once cocktail hour ends and guests start to find their seats, we even have staff members stationed to help so that everything goes smoothly and the party can start.

If you are wondering, we started set up at 12:00 noon for this beautiful reception and guests began arriving at 5:45pm.
